Import library entries from a spreadsheet

Download a kind's CSV template, fill it in from the datasheets and import it. Each row is checked like a typed entry, and a refused row says why.

Equipment and reference libraries · For owners, admins and engineers · Updated 7 Oct 2026

Each kind of equipment has its own spreadsheet template, because an evaporator and a compressor are rated on different things. Fill one in to add a whole range to your firm's library at once.

  1. 1

In Settings → Your firm → Equipment library, choose the kind of equipment, then its template button (Condenser template, for example) to download the CSV.

  2. 2

Open it in Excel or Sheets and fill in one row per model from the manufacturers' datasheets. Keep the header row as it is.

  3. 3

Back on the library, choose Import spreadsheet, then Choose a filled template.

  4. 4

Read what Kelvin found: the rows it will import, any already in the library, and any it refuses, each with its reason.

  5. 5

Under When the file has a model the library holds, choose Leave the one that's here or Replace it with the file's.

  6. 6

Tick the box confirming your firm has the right to use the figures, and choose the import button.

How the file is read

  • The template comes with a header row, a row of notes and one made-up example row. A row whose first cell starts with # is skipped, so leave the notes and example in or delete them.
  • Column names are matched whatever their case, spacing or punctuation. A column the template doesn't have is ignored, and Kelvin lists it.
  • Commas, tabs and semicolons all work as separators, so a sheet saved as CSV or copied as tab-separated text reads the same.
  • A blank cell stays blank, never zero.
  • Every row is checked exactly as the entry sheet checks a model typed by hand. A row missing something Kelvin needs is refused with its reason, never filled in. A model listed twice is read from its first row only.
  • The file is read in your browser, and only the rows that pass are saved.

Models already in the library

A row matches an entry on its manufacturer and model. Leave the one that's here skips it. Replace it with the file's saves the file's figures as a new version of the entry, which keeps its history and clears its sign-off. Projects that copied the entry keep their figures.

After importing

Imported entries arrive not checked, like any new entry, and carry no datasheet PDF: edit an entry to attach one. If some rows are refused as they save, Kelvin says how many and why the first was refused, and the rows that saved stay saved.

Note

The templates carry no manufacturer's figures. The example row is invented, so the shape of a row is obvious.
