Email reports to your client

Send a project's reports from the Reports screen or a request's page: who can send to whom, the limits, and what the client receives.

Reports can go to a client by email from two places: the Reports screen, for any refrigeration project, and the Issue reports block on a request's page.

From the Reports screen

    On Reports, build the bundle: choose the system and tick Include on the stations to send.

    Choose Email.

    Enter Recipients, separated by commas, and check the Subject. Add a covering note under Message if you want one.

    Under Send as (client organisation), choose the client, or leave Kelvin as the sender.

    Choose Send. Kelvin makes the bundle, then emails it.

From a request's page

In the Issue reports block, the recipient starts as the person who raised the request. Check the Subject, add a Message and choose Send reports. If reports are already attached to the request, for example from the last push to Deployr, those are sent as they are. If none are, Kelvin makes them from the linked design. The block then shows when the reports were last sent, to whom and by whom.

Who can send to whom

  • Any member of the firm can email reports, reviewers included.
  • Owners and admins can send to any address.
  • Everyone else can send only to the contacts already on the request, or to themselves. From the Reports screen there is no request, so they can send the bundle only to themselves. Ask an owner or admin to send it to a client.

Limits

  • At most 10 recipients in one send.
  • Your firm can email a set number of recipients in any 24 hours, counted across every report email and sender test. Past it, Kelvin says how many your firm has emailed and what its limit is. Try again later, or ask Sentoro to raise it.
  • Emailing a report issues it, so your firm's plan has to include issued reports. A watermarked draft can't be emailed to a client.
  • Making the bundle counts towards your firm's daily report limit, like a download does.

What the client receives

An email headed with the project's name: your covering note, or a line saying who sent the reports, then a link to each PDF, with an "Open the report" button when there is only one. The reports are linked, not attached. A note at the foot says the reports are computer-generated and their figures should be checked before anyone acts on them.

The email comes from the client's own sending address when their Deployr has one verified: on a request's page, the client that raised it; on the Reports screen, the client you choose under Send as (client organisation). Otherwise it comes from Kelvin's default address. Replies come to you, or to the reply-to address the client's sender names.
